Approval procedures for contractual documents have been introduced within the group. These were solved using various SW. Other processes were described and processed in the same way. The goal was to unify the management and approval processes and at the same time electronic records with the provision of access to authorized users according to function and activity, with the possibility of a subsequent audit of the responsibility of individual employees. At the same time, emphasis was placed on the flexibility of the used platform with the possibility of automating other processes.

Expectations from Team assistant deployment:

• clear electronic records of contractual documents
• a simple overview of the stage of the document approval and signing process
• quick and easy to add a new agenda/process

To deploy the Team assistant application for the document approval area:

• unification of SW solutions
• migration of documents from the original SW to the Team assistant application
• ensuring a uniform process across all companies, for every type of document
• creation of an automatically supplemented “approval shirt” of the document

During the initial modeling of the processes, existing work procedures and guidelines were used. On the basis of feedback from users and on the basis of statistical information on implemented cases, the processes are continuously optimized. Training of end users and administrators of the application was part of it.

Other processes were gradually added: Acquaintance with the governing documents of the organization, Approval of investment plans, Requests for business flights.
